What to put on a rent receipt
A rent receipt is the landlord's written confirmation that a payment was received. It protects both sides: the tenant can prove they paid, and the landlord has a numbered record that matches the ledger.
- Receipt number and date the payment was received.
- Tenant name and the rental property address (and unit).
- Amount, in figures and in words.
- What it covers: the rent period (for example, Rent for November 2026) or another charge.
- How it was paid: cash, check number, money order, Zelle and so on.
- Balance remaining after a partial payment.
- Name, title and signature of the person who received the money.
When a receipt is required
Rules differ by state. In New York, a landlord must give a written receipt when rent is paid in cash or by anything other than the tenant's personal check, and must give one for personal checks if the tenant asks in writing. The receipt must show the date, amount, premises and period, and the signature and title of the person who received the rent, and the landlord must keep records of cash receipts for three years (N.Y. Real Property Law § 235-e, checked October 2026). Other states and cities have their own rules, so check yours. Giving a receipt for every payment is the simple habit that covers them all.
Can I email a rent receipt?
Yes. Download the PDF and attach it to an email or text. Keep a copy with your records.
Do I need a receipt for a Zelle or bank payment?
The bank record already proves the transfer, but a receipt still tells the tenant which month the money was applied to and what balance is left, which avoids disputes over partial payments.
Should a tenant pay rent in cash?
Cash is legal in most places but hard to prove later. If you accept cash, always give a signed receipt on the spot. Some states limit when a landlord can demand cash, for example California Civil Code § 1947.3.
