How to keep a rent ledger

  1. Enter the tenant, the property and the monthly rent from the lease.
  2. On the due date, add that month's rent as a charge. Add late fees only as your lease and state law allow.
  3. Record every payment the day it arrives, with how it was paid. Each payment gets a numbered rent receipt.
  4. Check the running balance. Positive means the tenant owes; negative is a credit. If rent is late, send a late rent notice with the exact amount.
  5. Download the tenant ledger when the tenant, a lender or a court asks for a payment history.

Questions

What is a rent ledger?

A running record of everything a tenant is charged (rent, late fees, other charges) and everything they pay, with the balance after each line. It shows at a glance whether the tenant is paid up or behind.

Is the rent ledger really free?

Yes, for one tenant: unlimited entries, the ledger PDF and rent receipts. Pro is for landlords who manage several tenants and want the Schedule E summary.

Where is my data stored?

In your browser on this device. Nothing about your tenants is sent to our servers. Use “Save as file” to keep a copy or move it to another computer.

Do you collect rent from tenants?

No. RentLedger HQ is a record-keeping tool. Tenants keep paying you the way they do now, and you record the payment.

Can I give the tenant a receipt?

Yes. Every payment in the ledger has a Receipt button that makes a numbered PDF receipt with the amount, method and remaining balance. Or use the stand-alone rent receipt generator.

Will a court accept this ledger?

A clear, dated ledger is the usual way to show unpaid rent, but what a court accepts depends on your state and the judge. It is a record, not legal advice; check with a local attorney before an eviction.
