Tenant ledger: what it is and how to make one
A tenant ledger is the payment history of one tenant: every rent charge, late fee, payment and credit, in date order, with the balance after each line.
Example
What a tenant ledger should include
| Column | What goes in it |
|---|---|
| Date | The day a charge was due or a payment was received. |
| Description | Rent for which month, late fee, utility charge, repair credit; for payments, how it was paid (check number, Zelle, money order). |
| Charge | Amounts the tenant owes: rent, late fees, other charges allowed by the lease. |
| Payment | Amounts received, and credits you give. |
| Balance | Previous balance plus the charge, minus the payment. Positive means the tenant owes; negative is a credit. |
Put the tenant's name, the rental address and unit, the monthly rent and your own name at the top, so the page stands on its own when you hand it to someone.
Tenant ledger vs. rent ledger vs. rent roll
- Tenant ledger: one tenant, every transaction. What a tenant, a court or a new owner asks for.
- Rent ledger: often the same thing, or the landlord's book that holds the ledgers of all tenants.
- Rent roll: one line per unit (tenant, rent, lease dates, balance) on a given date. A summary, not a history.
When you need it
- A tenant disputes what they owe, or asks for a statement for their own records.
- Moving out: you compare the balance with the security deposit.
- Nonpayment: a clear ledger is the usual way to show what rent is unpaid. Court rules differ by state, so talk to a local attorney before you file.
- Selling the building, refinancing, or tax time.
Good habits
- Post rent on the due date every month, even if the tenant pays early. The ledger then shows the payment covering the charge.
- Record each payment the day it arrives and give a rent receipt.
- Never edit an old line to fix a mistake; add a correcting credit or charge with a note. The history stays honest.
- Keep security deposits out of the rent ledger, or on a separate line marked as a deposit: a deposit you expect to return is not rent.
Is a tenant ledger the same as a rent receipt?
No. A receipt confirms one payment. The ledger lists all charges and payments and the balance after each.
Does a tenant have the right to see their ledger?
Many landlords provide it on request, and some states and cities require landlords to give receipts or payment records. Check the rules where your property is.
